1. Operation Manager

Job description

  • Assist in planning, managing and implementing all the operation and logistics aspects of the assigned exhibitions and events.
  • Managing of layouts, technical/exhibitors manual and working with exhibitors to ensure the assigned events success
  • Supervise the performance of vendors, contractors, suppliers to ensure the smooth operation.
  • Liaise with venue owner, government (if necessary) and other key agencies as required for permits, approvals and coordination
  • Key point of contact of the exhibitors/contractors pertaining to operational services and support
  • Management of ground and daily operations activities on site for the assigned shows.

Requirement

  • 1 year of experiences in the exhibition or related industry.
  • Strong organization skills, good problem solver
  • Ability to work under pressure
  • Good command of English (written and spoken)
  • Technical knowledge is a plus

 

2. PROJECT EXECUTIVE/PROJECT SECRETARY

Tasks and Accountability

(This list is not exhaustive)

  • Provide secretariat support to Project Director/Manager/Executive e.g. clearing of mail, faxing, emailing, answering calls and taking minutes of meetings. Draft letters on behalf of Managers, given a verbal brief.
  • Assist in sales campaigns by doing mailing/email/fax broadcasts and assisting with sales calls, and making appointments for Managers.
  • Compile and update database of lists for Exhibitor Promotion.
  • Work with Project/Sales Managers to liaise with agents for any requirements they may have with regards to print material.
  • Input Technical Services Manual forms into system (if faxed over as forms are online) and disseminate information to the correct departments, e.g. Marketing Services and Operations Department.
  • Liaise with Exhibitors, sending floor-plan to indicate their location, space contract and invoice, visitor tickets/information and maintain constant follow up, informing Managers of any problems.
  • Maintain floor-plan allocation, plotting exhibitors who have reserved space, and updating colour chart.
  • Prepare sales figure reports on a regular basis.
  • Set up Site office at the exhibition and manage the front desk to assist Exhibitors with any problems, provide a professional welcome for them, ensure housekeeping, manage petty cash, and assist Operations Department to do verification of orders and other on-site duties.
  • Handle post-show activities which include thank-you letters to Exhibitors and associations, etc.
  • Maintain an effective and accurate filing system including archive files.
  • Maintain updating of project shelves with current show materials.
  • Possess good organizational, prioritising and multi-tasking skills at all time to meet deadlines.

REQUIREMENTS:

  • Good command of English (Spoken and written)
  • Good interpersonal skills, be a team player as well as an independent worker
  • Computer literacy (MS word, excel, autocad is a plus).

 

3. Digital Marketing Executive

Job description

  • Managing UBM-VES show presences through online platform and other ecommerce channels such as: Website, Social network, Web browser,
  • Managing eDM and SMS marketing
  • Managing online exhibitor and visitor management system, such as E-manual and Online visitor Pre-registration.
  • Developing creative briefs to give the event partners (designer, agency) clear direction. Managing their implementation to ensure they follow the show’s concepts and
  • Researching and analyzing new trends that are practical for running online campaigns for
  • Integrating online activities with offline marketing communication plans to ensure the campaign delivers optimal business
  • Developing and writing digital content and managing the publishing editorial
  • Assisting Marketing Manager and the internal team to review and evaluate post-show results. Recommending adjustments as appropriate to improve performance of the shows.

REQUIREMENTS:

  • At least 1-2 year experience in website management/ digital marketing position
  • Good command of English (written and spoken)
  • Good interpersonal skills
  • Being creative
